We collect the following information where we have a lawful basis under UK GDPR:

You can submit your CV to us via the website or by direct email. Your CV and the personal data you provide will be stored in our Customer Relationship Management (CRM) database. Only authorised personnel who work for Newtons Recruitment will have access to this CRM database.
 
Clients

We collect the following information where we have a lawful basis under UK GDPR:

·       Information about the company you work for (address, telephone number, customer base, etc.).

·       To inform you of candidates we believe will be of interest to you and when they become available.

We may contact you in connection with our recruitment services, contractual relationship, or legitimate business communications. You may object to such communications at any time. We may also release information relating to you to regulatory or law enforcement authorities. We will store this information in our CRM database, as highlighted in the candidates above.

International Transfers

Where personal data is transferred outside the UK, we ensure appropriate safeguards are in place, including the UK International Data Transfer Agreement (IDTA), UK-approved adequacy regulations and standard contractual clauses.

Data Retention

We only retain your information for as long as is necessary for us to use your information as described above or to comply with our legal, regulatory or contractual obligations. 

To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

Retention may be extended where legally required.

If you want us to delete your data at any point, you may request for us to do so, and your data will be permanently deleted from our database. The removal of all personal data (including email contact details) will result in Newtons Recruitment no longer being able to carry out work on your behalf.

Chameleon-i

We utilise Chameleon-i as a data processor and for storage of our database. The agreement with Chameleon-i allows them to process our data within GDPR requirements and to facilitate our database. 

The hosting provider for these Live Products and Services is qualified with:

·         ISO 27001 Information Security.
·         ISO 27017 Cloud Security.
·         ISO 27018 Cloud Privacy.
·         SOC 1, SOC 2, SOC 3.

Curriculum Vitae (CV)

We provide you with the option of submitting your CV via our website or by sending your CV via email to one of our consultants. You can do this to apply for a certain advertised job or to be considered by our recruitment consultants for positions as they come up. Your CV will be stored in our database and will be accessible by our recruitment consultants. You can update your CV at any time, simply by following the same procedure to submit a new CV.

Securing your Data

We are committed to ensuring that your information is secure. To prevent the loss, misuse, alteration or unauthorised access of your personal information, we have put in place suitable technical and organisational precautions to safeguard and secure the information we collect. All the personal information you provide is stored on secure servers and our servers undergo regular Malware scanning. Our website is SSL certified. We implement appropriate technical and organisational measures to protect personal data, including:

Data Breaches 

We will assess all personal data breaches and notify the ICO and affected individuals where required under UK GDPR within 72 hours of the breach.

Secure Disposal

We utilise electronic equipment that may be considered electronic storage media (ESM). Therefore, before any equipment is removed, repurposed or replaced, the secure disposal of data must take place.

The process for secure disposal for ESM begins with sanitisation. Sanitisation will remove any of the sensitive data that may be located on our device. We will sanitise any devices that require removal, repurpose or replacement through removal of means of accessing the data, secure overwriting or destruction using technologies such as McAfee’s secure shred. We will operate on a case-by-case basis regarding secure disposal of equipment due to differences between different types of ESM. 

Regarding third-party contractors, we will ensure that any contracts with third parties handling data disposal act in compliance with the Data Protection Act of 2018, prioritising security and confidentiality.
